The Challenge

Chicago’s Rush University Medical Center is a large academic healthcare institution providing life-saving treatments. In 2006, Rush began a 10-year modernization project to build new facilities, renovate existing buildings, and adopt new state-of-the-art technologies.

These efforts accumulated upwards of 40,000 documents and drawings. Rush needed a system that not only allowed personnel to retrieve these documents faster, but also prevented loss while freeing up valuable space.

Rush called on ATG to develop a cloud-based solution to manage all campus documents and drawings more efficiently.

The Solution

Based on the center’s needs, ATG built a customized interface to allow quick access to documents—drawings, warranties, specs, etc.—with intuitive navigation and powerful, Google-like search capabilities.

Before implementing ATG’s Facility Document Management (FDM) system, locating a document was a time-consuming task for Rush staff. Old documents and multiple different project scopes were stored throughout the massive campus, often buried deep in boxes, in large drawing rooms, or on floppy disks and CDs.

Now, with this centralized tool, an unlimited number of authorized users can access campus documents directly through the web interface of the solution quickly and easily. This saves Rush personnel an enormous amount of time, while minimizing errors due to staff and contractors using different information. Everything is stored in secure, electronic format with a fail-safe backup system, so loss of documentation is no longer a concern.

A critical feature the technology has over similar solutions is its built-in email notification system for time-sensitive documents. When documentation such as contracts or warranties have required actions pending, the system automatically sends alerts to all relevant personnel.

The Results
