The Challenge

Chicago-based Presence Health encompasses a dozen hospitals and more than 150 other properties across Illinois, including long-term care and senior living facilities, physician offices, health centers, and more.

At any given time, the company manages over 500 leases to health practitioners. With that much floor space to track, the organization was challenged by the resources and effort required to keep up with new build-outs and related activities. Every lease required facility staff to visit the site and calculate square footage based on new tenant space, then draw up floor plans for lease calculations—a big drain on resources.

Additionally, Presence recognized the need to ensure accurate calculations of each tenant suite according to Building Owners and Managers Association (BOMA) guidelines and compliance with Stark regulations.

The Solution

Presence turned to Advanced Technologies Group (ATG) to develop an intuitive solution for the ongoing management of tenant build-outs and rentable square footage data for all leases.

First, ATG performed field verification of all Presence sites to create accurate floor plans of each building and all corresponding suites. The results of the survey were then incorporated into the Space component of ATG’s Active Visual System®, which provides intuitive access to accurate floor plan layouts and rentable square footage information for all tenant suites according to BOMA standards. The system is cloud-based and does not require local installation of any software.

According to Larry Latas, System Director of Properties, the biggest benefits of ATG’s system are convenience and reliability. “If a potential tenant calls looking for space, I go on the website, access floor plans, and email them all the relevant information. It’s a great selling tool. And I don’t have to drive out to a site to walk a tire-kicker through a suite.”

Secondly, renovations are easier. “We can consider many types of ‘what-if’ scenarios, and email the information—along with the layouts and space data—to a tenant to show what it would look like. And we can give our architects, engineers, and even furniture vendors access to plans on the website. We don’t have to print off paperwork or send drawings.”
